The unit price is agreed, the purchase order is issued, the goods are delivered — and the remittance arrives short by an amount nobody budgeted. Chargebacks are deductions a retailer takes against an invoice for a failure to follow its vendor compliance manual, and in lighting they are common enough that a first-year programme should assume some. They are also almost entirely avoidable with preparation.
What a vendor compliance manual actually is
It is the retailer's operating rulebook for suppliers: how cartons are labelled, what the barcode format is, when an advance shipping notice has to be filed, how a delivery appointment is booked, what happens to a pallet that arrives outside the window.
The manual is not negotiable in the way price is. It is a condition of holding the account, and it is usually provided after the vendor is approved but before the first purchase order. That timing is exactly why it gets read too late.
Ask for it during negotiation, not after. If the manual is not available until after onboarding, ask for the sections that carry financial penalties.
Where chargebacks come from in lighting
Notice that most of these are administrative. The lamp itself can be perfect and the invoice still short-paid.
- Carton and pallet labelling that does not scan at the distribution centre.
- An advance shipping notice filed late, or with quantities that do not match the physical shipment.
- A delivery that misses its appointment window, or arrives on a carrier the retailer does not have a relationship with.
- Floor-ready presentation requirements — ticketing, polybagging, carton orientation — that were not met.
- Short shipments or substitutions that were not pre-approved.
- Defective or damaged units discovered at the distribution centre rather than at the store.
Why lighting specifically trips these rules
Lamp cartons are long, awkward and easily damaged, which puts them at the centre of two separate rule sets: freight handling and floor-ready presentation. A tall carton that arrives with a crushed corner can fail both at once.
Carton Design: The Cheapest Place to Save Money on a Lamp goes into why carton geometry drives both freight cost and damage rates, and What Has to Be Printed on a Lamp Carton: A Marking and Labelling Checklist covers the marking side.
The practical point is that packaging is a compliance document, not just protection. Treating it as the last item on the checklist is how the deductions start.
Build the cost into the model before you quote
A landed cost model that stops at freight, duty and product cost will show a margin the business never actually collects. Add a line for compliance: labelling setup, any third-party ticketing service, the internal time to file shipping notices, and a contingency for deductions.
How to Build a Landed Cost Model for a Lighting Order sets out the structure. The compliance line is usually small in percentage terms and large in surprise value, which is the worst combination.
If a retailer's manual requires a service the supplier cannot provide — a specific barcode format applied at source, for example — price it before the first order rather than absorbing it.
How to reduce the deductions
The last item matters more than it sounds. Chargeback dispute windows are short, and deductions that are never disputed become the accepted baseline for the account.
- Read the manual before the first purchase order and list every requirement that carries a financial penalty.
- Confirm who files the advance shipping notice — you, the freight provider, or the retailer's portal — and test it on the first small order.
- Send carton and label artwork to the retailer for approval before production, not after.
- Photograph pallets before they leave, and keep the photographs with the shipment record.
- Reconcile every remittance against the invoice and dispute deductions within the stated window.
Watch the compliance load before accepting a second account
Every large account has its own manual, and the differences are in the details: one requires a particular label placement, another a different notice timing. A second account does not simply double volume, it adds a second administrative process.
Getting Onto the Vendor Master: What a Large Retailer Needs From a Lamp Supplier covers the onboarding side. The follow-on question is whether the operation can run two rulebooks at once without errors in either.
Where the answer is no, the honest options are to sequence the accounts, or to use a distributor that already carries the compliance burden.
Where Anrotix fits
Anrotix supplies its own portable-luminaire range from US stock: nine 120V floor and table lamp models, orderable from ten units with mixed SKUs, dispatched within one business day and typically delivered in three to seven business days. Carton marking and private-label packaging are handled as part of the programme rather than as an afterthought.
Wholesale pricing is quoted by tier rather than published, because it depends on the model mix, the quantity and whether the order is ex-stock or a factory run. Send the model list and quantity with an enquiry and you will get a tiered quote back.

A deduction the retailer takes against an invoice for a failure to follow its vendor compliance manual — late paperwork, wrong labelling, missed delivery windows or non-conforming cartons.
Are chargebacks negotiable?
Individual deductions usually can be disputed within a stated window. The manual itself is generally not negotiable; it is a condition of holding the account.
How should a supplier plan for them?
