How Long Is a Lamp Quote Good For? Validity, Escalation and Re-Quoting

Buyers treat a quotation as a number. Suppliers treat it as a number that holds for a stated period under stated assumptions. When those two views meet a long project, a tariff change or a currency move, somebody ends up re-quoting — and the conversation is rarely pleasant. Clarity about validity is cheap; the absence of it is not.

What a validity period is actually promising

A stated validity — thirty, sixty, ninety days — means the supplier will honour that price for an order placed inside the window, in the quantity quoted, with the specification quoted. It is not a commitment on an order placed later, a different quantity, or a changed finish.

The assumptions matter as much as the date. Freight, duty and input costs all move, and a quote built on one freight environment does not automatically carry into another.

Ask what happens at the end of the window. Some suppliers extend quietly, some re-quote, and some treat the expired quote as still live until challenged. The third case is where relationships get strained.

Why lighting quotes expire faster than buyers expect

None of this means a quote is unreliable. It means a quote is a snapshot, and the longer the gap between quote and order, the wider the range of outcomes.

  • Freight rates on long, lightweight cartons move with the market and with fuel.
  • Duty and tariff measures can change between quote and shipment, and lighting lines have been affected by additional measures before.
  • Metal, wire and electronic component costs are commodity-driven for parts of the lamp.
  • Currency moves between the manufacturing currency and the buyer's.
  • Quantity changes move the order into a different production or pricing bracket.

Ask for the assumptions in writing

The single most useful sentence in a quotation is the one that says what it is based on: quantity, specification, Incoterm, freight basis, and any duty assumption. Writing an RFQ That Gets a Real Quote: The Information Lamp Suppliers Actually Need lists the fields that produce a quote you can actually compare.

Incoterms for Lighting Orders, in Plain Language matters here too, because a quote on one Incoterm and an expectation on another is the most common source of an apparent price change that is not really a price change.

If a quote has no stated validity, ask. A supplier who will not commit to any period is telling you something about how firm the number is.

Escalation clauses: what they are for

On long programmes some suppliers quote with a formula rather than a fixed number: the price moves with a stated index, a raw material input, or a duty rate. This looks less friendly than a fixed price and is often more honest.

A fixed price on a twelve-month programme means the supplier has priced the risk of a bad year into every unit. An escalation clause prices only what actually happens. Which is better depends on whether the buyer wants certainty or the lowest expected cost.

If you accept an escalation clause, make sure it has a cap, a review date, and a definition of the index being used. Vague escalation is worse than no escalation.

Planning around tariff and duty movement

Where additional measures apply to a lighting line, a landed cost model with a single fixed duty figure is a model that will be wrong. Building a Lighting Programme That Survives a Tariff Change and Tariffs and Lighting Imports: How to Plan Around Them both make the same point: carry a contingency and know who bears the change.

That last question — who bears a duty change between order and arrival — belongs in the terms, not in the quote. It is a contract question and it should be answered before it is needed.

How to avoid a re-quote you did not expect

  • Order inside the validity window, or say in advance that you will not and ask for a longer one.
  • Lock the specification before requesting the quote; a changed finish or bulb is a new quote.
  • Confirm the quantity is the quantity — a re-quote triggered by a quantity change is not a price rise.
  • Ask for the assumptions in writing, including Incoterm and freight basis.
  • For long programmes, ask for a tiered schedule rather than one number for one quantity.

Where Anrotix fits

Anrotix quotes wholesale pricing by tier rather than publishing a price list, because the number depends on the model mix, the quantity and whether the order is ex-stock or a factory run. Ex-stock orders from US inventory have the shortest gap between quote and dispatch, which is also the shortest exposure to anything moving underneath the price.

The range is nine 120V floor and table lamp models held in the United States, orderable from ten units with mixed SKUs, dispatched within one business day and typically delivered in three to seven business days. Send the model list and quantity with an enquiry and you will get a tiered quote with the assumptions stated.

For a tiered quote on current US stock, email help@anrotix.cn with the models, quantities and the state you are shipping to.

Frequently asked questions

Does a quote's validity period cover a later order at the same price?

Only if the order is placed inside the window, at the quoted quantity and specification, under the same assumptions. Outside any of those, expect a re-quote.

Why would a lamp supplier re-quote after a few weeks?

Freight, duty, currency and component costs all move. A quote is a snapshot of those inputs, not a promise across changing conditions.

Is an escalation clause a bad sign?

Not necessarily. On a long programme it can be more honest than a fixed price, because the risk is priced as it happens rather than baked into every unit. Ask for a cap and a defined index.
